Both see all modules, so nothing is paywalled by seat type. A Full seat is for the people who build and own the work: they create records, configure templates and workflows, assign and approve, and run analytics and exports. A User seat is limited capacity, for the much larger group who only respond to what is assigned to them, completing inspections, training and actions and reporting incidents. A User seat costs a fraction of a Full seat, so you only pay the full rate for the people who actually run the system.

A User seat can complete work assigned to them, complete inspections, training courses and assigned actions, report incidents, raise observations and view the modules they work in. It cannot configure the system, own or edit registers, assign work to others, or access admin and billing. If someone needs to create and own work, they belong on a Full seat. You can move a person between seat types at any time.

VERA, our AI assistant, is a Full-seat capability. Full seats get the full set: AI hazard analysis on JHAs, the root-cause facilitator on incidents, SDS and legal clause extraction, photo-based LMRA and asking VERA questions over your own data. User seats do not include the AI features, they respond to and complete the work assigned to them. If someone needs AI in their day-to-day, put them on a Full seat.

Same product, all modules, either way. Standard is the per-seat rate billed monthly, sign up and go live the same day. Enterprise is for larger teams and multi-site groups: you get volume rates on both seat types, annual billing and consolidated invoicing, guided migration, multi-site rollout support, priority support and procurement paperwork like a custom DPA. If you are under roughly 30 to 50 seats, Standard is almost always the right call. Either way, contact us and we quote your setup.

The more seats you commit to annually, the lower the per-seat rate on both Full and User seats. Yes. Every Standard signup starts with a 14-day free trial so you can set up your org, invite your team and run a real workflow before you are billed. You add payment details at signup and are only charged once the trial ends, and you can cancel any time before then at no cost.

Anyone who logs into the platform holds a seat, either Full or User. Admin is not a separate charge, it is a flag on a Full seat. Contractors filing a permit request from the public form need no seat at all. Billing is metered: add a seat and it prorates immediately, remove one and it stays paid until the end of the cycle.

No setup fee on either tier. Standard is sign-up-and-go, so you set it up in minutes. On Enterprise, guided migration from Excel or a legacy QHSE tool is included, we help map your existing risk register, document library and user roles into ENSURE during rollout.
